Job Description

Its Principal Administrative Offices are located in The Woodlands, Texas, 30 miles north of Houston.

We are currently conducting a search for an Executive Assistant to the CEO. This position is an extension of the CEO, and the ideal candidate will be a service-oriented energetic doer with a positive attitude. This individual is a strategic driver of creating and elevating Waste Connections’ Servant Leadership culture within the corporate office and with the field.

Roles and Responsibilities:

  • Completes a broad variety of administrative tasks for the CEO, including managing an active calendar of appointments and acting as a liaison with other officers and departments, as well as vendors and outside agencies.

  • Communicates directly, and on behalf of the CEO, with company personnel, business partners, and other parties on matters related to CEO's initiatives.

  • Researches, prioritizes, and follows up on incoming issues and concerns addressed to the CEO, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.

  • Provides leadership to build relationships crucial to the success of the organization, and manages a variety of special projects for the CEO, many of which have organizational impact.

  • Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the CEO's ability to effectively lead the Company.

  • Maintains discretion and confidentiality regarding any relationships, discussions and material that the executive assistant is privy to.

  • Drafts, edits and/or completes written communications to external stakeholders in accordance to guidance and direction.

  • Works closely and effectively with the CEO to keep him well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a "carrier of the culture,” having a sense for the issues taking place in the Company environment and keeping the CEO updated.

  • Completing and processing expense reports.

  • Arranging complex and detailed travel plans, itineraries, and agendas, as well as coordinating Company events and meetings.

  • Writing, editing and reviewing legal documents in conjunction with the legal department.

  • Management of the corporate office receptionists and administrative teams.

Job Requirements

  • Able to work flexible hours.

  • Willing to travel for work, when required.

  • Strong work tenure: five to 10 years of experience supporting C-Level Executives.

  • Experience and interest in internal and external communications and legal review of documents.

  • Very strong interpersonal skills and the ability to build relationships with multiple stakeholders, including senior management, staff, investors, vendors and related parties.

  • Expert level written and verbal communication skills.

  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment.

  • Expert in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms.

  • Commitment to continuous performance and process improvement with a dedication to self-direction and willingness to take initiative.

  • Experience in preparation and coordination of company events, meetings, and employee team building activities or special projects.

  • Database management skills, technologically savvy.
