Leadership Administrative Assistant
The Leadership Administrative Assistant (LAA) will provide assistance and support to the leadership team of the Lower 48 (L48) East and South Operations / Development groups.
The LAA must have the ability to work independently on projects, from conception to completion and must be able to work under pressure at all times to handle a wide variety of activities and confidential matters with discretion. The ideal candidate will have the ability to exercise good judgment in a variety of situations with strong written and verbal communication, administrative and organizational skills, and the ability to maintain a realistic balance among multiple priorities and direction from several people. The incumbent also must have expertise in technology to apply skills in the latest tools, techniques, and thinking to the work across the leadership team.

Complete a variety of administrative tasks, including: managing extremely active calendars of appointments; completing expense reports; composing and preparing correspondence that often is confidential; arranging complex and detailed travel plans, itineraries and agenda that can be required with little-to-no notice.
Maintain a regular dialogue with each of the leaders so that actions remain aligned.
Plan, coordinate, and ensure the leaders’ schedules are coordinated, followed, and respected.
Research, prioritize, and follow up on incoming issues and concerns that need to be addressed; determine appropriate form of response.
Provide a bridge for smooth communication; including responding to incoming/outgoing calls, emails and correspondence in reasonable time.
Work closely and effectively with the leaders to keep them informed of upcoming commitments and responsibilities; follow up appropriately to help assure that commitments are met.
Build relationships with other administrative assistants, as well as employees throughout the organization crucial to the success of the business.
Work collaboratively with other leadership assistants to assure business needs are met across the leadership team. Build a One Team approach to responding to the needs across the leadership team.
Prioritize conflicting needs; handle matters expeditiously & proactively; follow through on projects to successful completion often with deadline pressures.
Organize reports and data files to avoid any inconvenience in daily business matters.
Arrange and coordinate meetings onsite and offsite. Support preparations for visitors; coordinate with hospitality representatives on meeting needs. Provide logistical support for visits to the field including BP and external parties.
Develop and execute new ways of digitizing or automating activities; share learnings and adopt leading practices from others.
Manage fleet of 7 pool vehicles. Work with IT and PSCM to optimize and potentially automate process to the extent possible.
Be available to support members of the leaders’ teams as needs arise and circumstances warrant.
Complete other duties in support of L48 success as assigned and as arise.
Bachelor’s degree required.
2+ years of experience supporting executives preferred, or Oil & Gas industry experience.
Proficient in Microsoft Office (Outlook, Word, Excel and Power Point), Office 365, Surface Pro, Adobe Acrobat, iPhone, iCloud application, travel scheduling, etc.

BP's US Lower 48 (L48) Onshore business operates across a vast US geography, from Texas north through the Rocky Mountains. The business manages a diverse portfolio which includes an extensive unconventional resource base of about 7.5 billion barrels of oil equivalent across 5.5 million gross acres in some of the largest and most well-known basins in the US. Headquartered in Denver, Colorado, L48 employs about 1,000 people across six states, operates more than 9,600 producing wells and has 70,000 royalty owners. Our vision is to be the most respected and admired oil and gas company in the Lower 48 US states.
Our Wyoming operations are anchored on the giant Wamsutter tight gas field in the south central part of the state. In the San Juan area of Colorado and New Mexico we produce from tight gas sands and operate the largest coal-bed methane field in the US. Our Mid-Continent operations cover the prolific Anadarko, along with the Woodford shale gas play and Arkoma basin. We also have non-operating interests in over 10,000 wells across the US with substantial positions in the Eagle Ford shale basins.
In 2015, the L48 Onshore is being established as a separate business within BP’s Upstream to manage its onshore oil and gas assets across the US onshore. This effort is being undertaken to improve competitiveness and help L48 remain at the forefront of innovation and development of technologies for unconventional resources.
